Collect service charge and see who has paid

Manorlogic lets an estate manager set a service charge, raise the month's invoices in one step, record cash and bank transfers, match a bank statement to invoices and read an arrears report. Residents see what they owe and what they have paid. All amounts are in naira.

How does a month of service charge collection work?

  1. Set the fee schedule. Give it a name, an amount in naira and a frequency. Choose who it applies to: the whole estate, one or more buildings, or a group of households. Add a late-fee rule if you want one.

  2. Preview who will be billed. Check the list of households before anything is raised.

  3. Generate the invoices. At the start of the period the manager presses one button. Invoices start as drafts. Residents see an invoice once it is issued.

  4. Take payments. Residents pay by cash or transfer, and the manager records it. Or they pay through Paystack, covered below.

  5. Match the bank statement. Upload the month's statement as a CSV. Credits are matched to invoices, and unmatched rows can be created or skipped, with a result for each row.

  6. Chase from the arrears report. See who owes what and for how long.

  7. Apply late fees. After the due date, the late-fee rule you set is applied once per invoice, and a ledger records each one.

  8. Close the month. Download a statement for any household, or export invoices and payments to a spreadsheet.

Walk through a sample month

Choose how your residents pay and how many pay on time. The steps and the numbers change. Everything here is sample data.

SampleSample estate: 40 units, monthly levy ₦25,000. These numbers are sample inputs, not results.

  1. Step 1 of 5 The manager generates the month's invoices

What the manager does. Pick the fee schedule and press Generate invoices. It is one step, and the manager presses it.

What the system records. Each invoice, the schedule it came from and who generated it.

  2. Step 2 of 5 Residents see what they owe

What the manager does. Nothing more. Residents open the app.

Pay through Paystack: Being finalised: built, and not yet proven in a live estate.

What the system records. The invoice is issued, and the household sees its balance.

  3. Step 3 of 5 Payments arrive

How do most of your residents pay today?

Card or transfer through Paystack Being finalised: built, and not yet proven in a live estate.

A resident pays on Paystack's page. When Paystack confirms, the invoice shows as paid.

Bank transfer Built: this works in the product today.

The manager records the transfer against the invoice, or imports the bank statement.

Paying online through Paystack is built. It has not yet been used in a live estate. Recording transfers and importing a bank statement is the other route.

What the system records. The payment, the invoice it settled and who matched it.

  4. Step 4 of 5 Payments match invoices

How did residents pay in this sample month?

    Sample figures

    Sample estate, October
    StatusUnitsAmount (₦)
    Paid34850,000
    Pending4100,000
    Overdue250,000
    Expected401,000,000

    • Unit 12 · ₦25,000 · matched to invoice
    • Unmatched credit · ₦25,000 · create invoice or skip

What the manager does. Upload the bank statement. Matched credits settle invoices, and the manager decides what to do with the rest.

What the system records. Each row of the import has a result.

  5. Step 5 of 5 Arrears and late fees are visible

What the manager does. Open the arrears report and follow up with the households on it.

    • 7B₦25,0006 days late
    • 12₦50,00038 days late

Late fee: applied once to each overdue invoice, and each one is recorded.

Can residents pay estate dues online?

Online payment through Paystack is built into the product. A resident opens an invoice and pays by card or transfer on Paystack's page. When Paystack confirms, the invoice shows as paid or part-paid and a receipt is available. It has not yet been used in a live estate.

Manorlogic does not store card details. Paystack handles them.

Residents who prefer cash or a bank transfer can keep doing so. The manager records the payment against the invoice, or imports the bank statement.

What do managers do when an invoice needs fixing?

Raise a one-off charge, adjust an invoice, cancel it or write it off. Each change has a history.

What do residents see?

Residents see what they owe and what they have paid, on the web app and in the resident app. They get receipts for their payments.

Who is this for?

Estate managers who chase the levy each month. Treasurers and EXCO members who must answer "where did the money go?" from a record. Residents who want to see their own balance.
